Who we are and what this policy covers

Gravvia Global Infrastructure LLC ("Gravvia," "we," "us") builds AI systems for service businesses. This policy covers two things: this website, including the forms and tools on it, and Gravvia Engage, our inbound AI voice agent and client analytics dashboard.

The two work differently. On the website, we collect information directly from you and decide how it is used. Inside Gravvia Engage, we process information on behalf of the businesses that hire us — our clients — and they decide how it is used. Section 3 explains that distinction in detail.

Information we collect on the website

When you use this website, we collect:

  • Intake and contact form details. Your name, business name, email address, phone number, industry, approximate call volume, the CRM you use, and any options you select (such as the 24/7 support add-on). This information syncs to our CRM so we can follow up.
  • Trial signup details. The information you provide when you start the 14-day free trial, including business and contact details needed to set up your account.
  • Calendar booking details. Your name, email address, chosen time, and anything you write in the booking notes when you schedule a call with us.
  • Analytics and advertising cookies. Information about how you found and use the site — pages visited, time on page, referring source, and ad interactions — collected through cookies and similar technologies. See section 11.

We do not ask for payment details on the website. No card is required to start the trial.

Information processed through Gravvia Engage on behalf of our clients

Gravvia Engage answers inbound calls for the businesses that use it. In doing so, it processes information about the people who call those businesses, including:

  • Inbound call audio and recordings
  • Call transcripts
  • Caller phone numbers
  • Text messages sent to and from the business's number
  • Appointment details, such as requested services, dates, and times

For this information, we act as a service provider (or "processor") for our client — the business you called. The client controls this data: it decides what is collected, how long it is kept, and who can see it. We process it only to deliver the service under our agreement with the client.

Callers are notified that calls may be recorded according to the client's configuration of the service.

If you have questions about how a specific business uses Gravvia Engage — or want to access or delete information from a call you made to that business — contact that business directly. We will assist our client in responding to your request.

How we use information

We use the information we collect to:

  • Provide and operate Gravvia Engage, including answering calls, booking appointments, sending messages, and populating the client dashboard
  • Respond to your inquiries and booking requests
  • Set up and run your 14-day trial, including the reporting we deliver during it
  • Improve the product — for example, measuring answer rates, diagnosing errors, and refining how the voice agent handles calls
  • Market our services to you, including by email and text where you have agreed to receive them. You can opt out of marketing at any time; see sections 9 and 10.

We do not sell your personal information.

Service providers

We rely on a small number of service providers to run the website and the service. They process information only on our instructions and only to provide their service to us. By category, they are:

  • Our voice AI and telephony providers, which carry and process calls and messages
  • Cloud hosting and database providers, which store the data described in this policy
  • Our CRM, which holds contact and lead information from website forms
  • Scheduling providers, which handle calendar bookings
  • Analytics providers, which help us understand website usage
  • Advertising platforms, which help us measure and run paid campaigns

Healthcare data

Some of our clients are healthcare providers covered by HIPAA. Where a client is a covered entity, we execute a Business Associate Agreement (BAA) with that client before the service handles any protected health information, and we process protected health information only as that agreement permits. If you are a caller and believe your health information was involved in a call, direct questions to the healthcare provider you called.

Data retention

Call recordings and transcripts are kept for the duration of the client relationship or as configured by the client, whichever is shorter. When a client relationship ends, we delete or return the client's call data in accordance with our agreement with them.

Information you submit through the website (forms, trial signups, bookings) is kept for as long as we have an active relationship with you or a legitimate business need — for example, to respond to your inquiry or maintain records we are legally required to keep. You can ask us to delete it at any time; see section 9.

Security

We protect the information we hold with encryption in transit and at rest, access controls that limit data access to personnel who need it to do their jobs, and audit logging of access to sensitive systems. No system is perfectly secure, but we design ours so that a single failure does not expose your data.

Your rights

You can ask us to:

  • Access the personal information we hold about you
  • Correct information that is inaccurate
  • Delete your information
  • Stop sending you marketing (every marketing email includes an unsubscribe link; texts support STOP)

To submit a request, email us at the address in section 14 with the request type and the email or phone number you used with us. We will verify your identity and respond within the time required by applicable law.

If you are a California resident, or a resident of another state with a comprehensive privacy law, these rights apply to you under that law, and you also have the right not to be discriminated against for exercising them. We do not sell or share personal information as those terms are defined in California law.

If your request concerns a call you made to a business that uses Gravvia Engage, we will refer it to that business, since it controls that data (see section 3).

Text messaging consent

We send text messages only to people who have opted in — for example, by submitting a form with a phone number and agreeing to receive texts, or by texting a business through Gravvia Engage.

  • Reply STOP at any time to unsubscribe; reply HELP for help
  • Message frequency varies with your inquiry or appointment activity
  • Message and data rates may apply, depending on your carrier plan
  • Consent to receive texts is not a condition of purchasing anything from us

Cookies and how to manage them

This website uses cookies and similar technologies in three ways: essential cookies that make the site work, analytics cookies that tell us how the site is used, and advertising cookies that help us measure and run paid campaigns.

The advertising technology we use is the Meta Pixel and the Meta Conversions API. The Pixel runs in your browser and records page views and, on our thank-you page, that a trial signup completed. The Conversions API sends the same signup event to Meta from our server, including a hashed (irreversible) form of your email address and phone number, so the two can be matched to one event rather than counted twice. We do not send Meta the contents of your form, your call data, or anything about your callers.

To opt out: manage cookies through your browser settings — most browsers let you block or delete them entirely — and adjust the ad-personalization controls in your Meta account settings (accountscenter.meta.com/ad_preferences). You can also opt out of interest-based advertising through the industry opt-out pages linked from your advertising settings, and by enabling Global Privacy Control in your browser, which we honor where required. Blocking essential cookies may break parts of the site, such as forms.

Opting out of advertising cookies does not stop the server-side event, because that is triggered by your own form submission rather than by a cookie. If you would rather it were not sent at all, email us before submitting the form and we will take the signup by phone instead.

Children

Our website and services are directed at businesses and are not intended for anyone under 18. We do not knowingly collect personal information from anyone under 18. If you believe we have, contact us and we will delete it.

Changes to this policy

We may update this policy as the service or the law changes. When we do, we will change the "Last updated" date at the top of this page, and for material changes we will notify active clients by email before the change takes effect. Continued use of the website or service after a change means you accept the updated policy.
